3. The Draw Process


The process of how the entry list is compiled and the process of making the draw for the 200 club is clearly laid out here to ensure that the process is transparent as possible,

1/ Although new players cannot pay the club directly for 200 club entries, there are a small number of legacy players who have been paying this way for a number of years. The list of existing players is checked against bank payments and then added to the entry list. 1 entry is made for every £1 paid monthly.

2/ The list of players paying via the RFU GMS system is exported. The entries are extrapolated so each player has the correct number of entries. This list is then added to the entry.

3/ The current list of 23 Family members is then exported from GMS and added to the entry list. The cost of membership was increased in August 2023 by £1 to cover the cost of a single entry into the 200 club. This was to encourage increased participation in the club amongst the Y&M sections and enable a move to a monthly draw.

4/ Once the Entry list has been double checked, all names are deleted from the entry list so it consists of only RFU ID (or player IDs for the legacy players not on GMS) and saved as a csv file.

At the Management Committee Meeting the entry list is imported into a Random Name Selector App , the final import numbers are checked against the entry list to ensure all names have been imported and the 3 RFU ID numbers (or Player IDs for the legacy players) are randomly selected by the app. The process is witnessed by at least 3 members of the management committee to ensure the process is free from any manipulation.

The winning RFU ID's are checked using the GMS tool and the member is contacted by email within 24hours of the draw taking place. The winner is given the option to have the winnings paid onto their membership card, have the winnings paid into a bank account of their choice or they can chose to donate it back to the club.

Details of the winners and the draw itself are recorded on the draw history section of this site. Payments to bank accounts and membership cards are usually made within 7 days of the draw taking place.
